Job Summary

Under minimal supervision, the position is responsible for providing high-level administrative support to the Office of Dean in the College of Engineering and Computing, serving as the liaison of first impressions for the College. Manages the Office of the Dean's administrative day to day operations . Provides support to events.
  • Manages the walk-in traffic in the Office of The Dean and serves as Liaison of First Impressions. Notifies office personnel of visitor arrival. Manages the phone, voice mail system, and the College email account and follows up to answer questions and resolve issues, relays messages to intended parties as appropriate.
  • Supports the Dean's Office regarding day-to-day operations, led by the Dean's Office Executive Assistant. Under the direction of the Executive Assistant and with minimal supervision, implements responsibility for smooth and efficient operations of the office. Develops and maintains Liaison of First Impressions manual yearly.
  • Communicates with faculty, staff, donors, VIPs, and other individuals to answer questions, disseminate, or explain information, and address complaints as it relates to the Dean's Office and College, escalating to those required. Uses initiatives and judgment to address and determine items requiring leadership intervention and/or address matters requiring immediate attention.
  • Organizes work and prioritizes activities and deliverables based on deadlines and impact. Exercises considerable discretion and independent judgment to interpret policy and procedures and to answer complex questions.
  • Manages the reservation system for the College conference rooms and event venues. Responsible for ensuring proper Facilities requests are made and follow-up as needed. Monitors usage and reports inappropriate usage to supervisor.
  • In collaboration with the Deans Office and Executive Assistant to the Dean, partners with the Office of Academic Planning and Accountability, the accreditation agencies, and the academic units within the College to coordinate accreditation visits to the college including but not limited to ABET. .
  • Manages and coordinates visitor logistics including domestic and international travel arrangements, preparing the necessary travel and expense arrangements and reports.
  • Serves as lead purchaser for the Dean's Office as it relates to office supplies related to the office. Maintains accurate inventory of all items existing and purchased and ensures and maintains yearly supply budget for the office.
  • Serves as the department back liaison as it relates to Panther 180 management, and the Sr. Administrative Assistant, in their absence. Supporting the Office of the Dean in gathering required data such as committee names, meeting unit project goals and objectives
  • Serves as the liaison for student organizations as it relates to purchasing for travel and educational materials requisitions, solely. Ensures timely submission of travel and expense reporting and follows university travel guidelines.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's credit card policies and procedures. Maintains record of requisitions, and credit card transactions in the format established by the Budget Manager. Provides details on transactions as needed for account reconciliation, budgeting and reporting purposes.
  • Serves as backup for the Executive Administrative Assistant
Minimum Qualifications

High school diploma or GED and six (6) years of office or related experience providing administrative support or managing/coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.
