Job Summary:
Under the direction of the Director of Faculty Affairs, this position is responsible for effectively managing all processes related to faculty recruitment at the law school, including supporting and advising search committees, implementing processes that support diversity, equity, and inclusion efforts, and providing faculty candidates with positive impressions of and experiences with the law school. This position is also responsible for coordinating the onboarding process for residential faculty; coordinating faculty lifecycle processes (promotion, tenure, leaves, COI, etc.); administration of the faculty appointments budget; and supporting payroll functions, as needed.
Specific Responsibilities:
Oversee faculty recruitment strategies, initiatives, and activities for the law school.
- Oversee the faculty recruitment process and implement search initiatives. Support faculty search committees to align recruitment and hiring activities with law school strategy and University practices. Advise search committees on policies and procedures and ensure they are followed.
- Manage all aspects of search committee administration including position advertisements, candidate visits and job talks, voting meetings, guiding faculty files through the appropriate approvals processes, and drafting faculty appointment letters.
- Develop and maintain systems to track annual committee recruitment efforts, candidates of interest, candidate offers, faculty teaching needs, and diversity data.
- Identify and support implementation of diversity recruitment initiatives. Coordinate training for search committee members.
- Review the faculty recruitment and hiring manual and update according to yearly goals and objectives.
- Manage the onboarding process for all residential faculty (tenure-track, lecture-line, and clinical). Develop efficient methods to communicate and coordinate with all teams involved in faculty onboarding.
- Develop and maintain a faculty onboarding manual.
- Manage all aspects of promotion and tenure committee administration including building faculty files, guiding files through the appropriate approvals processes, and supporting voting meetings.
- Maintain systems to track annual lifecyle events including promotion, tenure, retentions, departures, and retirements.
- Create ad hoc faculty reports and analyze data. Provide information to appropriate University departments, internal committees, and accrediting bodies.
- Manage the Conflict of Interest (COI) process for faculty. Review submissions and raise potential conflicts to the Associate Dean for Research and Intellectual Life. Ensure compliance with COI policies.
- Assist with entry of annual merit increases and reappointments for faculty. Assist with production and distribution of annual reappointment and compensation letters.
- Ensure effective record retention along with other members of the faculty affairs team and monitor appropriate release of personal data.
- Support other faculty processes (visa application, faculty annual review, ad hoc initiatives, etc.), as needed.
- Oversee the appointments budget, approve all appointments-related expenditures, and make recommendations regarding future allocations and expenditures.
- Regularly update the appointments budget to reflect expenditures. Provide quarterly reconciliation and forecast to finance team.
- Develop and maintain an expertise on faculty payroll processes. Support faculty payroll work during busy periods.
- In collaboration with the director and assistant director, regularly review and update the Faculty Affairs manual. Ensure policies and procedures reflect University policy and best practices.
- Regularly assess and suggest improvements for effective communication with other law school units.
- Review, develop, and maintain appointments-tracking systems that efficiently align with University payroll processes.
- Working closely with other Faculty Affairs team members, identify ways to utilize faculty data reports from various systems, including myHR and Cognos.

- Bachelor's degree or the equivalent combination of experience, education, and training from which comparable skills can be acquired.
- Minimum of 5 years administrative work experience preferably in an academic or non-profit setting.
- Strong working knowledge of all Microsoft Office applications.
- Ability to handle many tasks simultaneously.
- Ability to accurately track data.
- Ability to consistently meet deadlines.
- Ability to work with a minimum of supervision, project a professional demeanor, and be proactive about identifying potential problems and discrepancies and working to find solutions.
- Previous experience in faculty affairs.
- Previous experience in recruitment.
