Purpose:

Boutique literary agency is hiring a full-time Office Manager, with bookkeeping experience, to oversee day-to-day Operations and Human Resources for a 20-person small business.  The position reports to Owners and Managing Partner and works alongside Partners to design and implement an operational and financial vision that aligns with company values and strategy.  The company will invest in employee’s professional training.  PFLM values colleagues from diverse personal and professional backgrounds.  Position offers a potential promotional path to a key leadership role in the company in 5+ years.

 

Your Profile:

The right candidate brings bookkeeping work experience and is both a numbers and people person, who can be detail-oriented and self-directed in a fast-paced, client-focused environment. Strong communication and problem solving skills are essential.  

 

Key Responsibilities:

Bookkeeping responsibilities include:

 

  1. Record financial transactions;
  2. Reconcile bank accounts;
  3. Manage accounts receivable;
  4. Responsible for accounts payable;
  5. Work with CFO and tax preparer for 1099’s;
  6. Prepare financial statements;
  7. Manage payroll;
  8. Responsible for insurance renewals (Benefits and Liability);
  9. Manage Corporate Card Administration and Payments;
  10. Review Commission Reports.

 

Office Administrator responsibilities include:

 

  1. Run all office Operations and Administration, including ordering supplies, managing building relationships and outside contractors, handling mail, renewing subscriptions, optimizing IT;
  2. Work with CFO and Managing Partner on Department Budgets and Overall Company Budget;
  3. Design and maintain best practices for regular operational and administrative needs;
  4. Problem solve office issues in a timely and cost-effective manner;
  5. Oversee the agency’s Human Resources practices, including on-boarding and off-boarding employees, coordinating technology needs, communicating internal and external correspondence re: policies and updates;
  6. Chair Diversity, Equity, and Inclusion Committee;
  7. Responsible for junior employee communications and meetings;
  8. Manage company-wide events and activities, including summer socials, donations, holiday cards, etc.

 

Compensation and Benefits:

Compensation: $75-$85K, plus annual discretionary bonus.

Benefits: PFLM provides medical with premium paid by PFLM, vision and dental insurance also available with partial premium paid by PFLM. We also have a 401(k) plan after 1 full year of employment. This employee has 23 days of paid vacation, 10 holidays + 1 floating holiday, Summer Fridays 9-1 from Memorial Day-Labor Day.
