The Flight Coordinator will assist in arranging charter and aircraft owner trips by coordinating all Fixed Based Operator (FBO) services, aircraft handling, passenger amenities, and flight crews. Must meet and exceed customer, pilot, and company management's expectations by making sure each flight is comfortable and smooth with details attended to that include, but are not limited to, prearranging authorizations, permits, and catering for each trip. The Flight Coordinator is expected to work independently but in close communication and collaboration with the team in a fast-paced environment with exceptional attention to detail and accuracy. The Flight Coordinator will be on a career path in our rapidly growing enterprise.
Duties and Responsibilities
- Schedule trips and coordinate FBO services, aircraft handling, passenger amenities and flight crew accommodations
- Ensure a proper pass down for night shift
- Arrange and obtain flight related authorizations, including those required for international flights
- Ensure that crewmembers are properly notified and assigned to each flight
- File flight plans for next day missions
- Be able to build a relationship with customers, pilots, and management/owners
- Monitor and follow all trips, by checking and coordinating ground transportation, catering and on time scheduled departure
- Review invoices, expenses, and fuel pricing for each charter and owner trip as needed
- Process close outs for each trip as needed
- Assist with other projects as needed
- Administrative duties include, but are not limited to:
- Timely response to all charter and aircraft owner communications including emails
- Review and get approval for any additional crew expenses during or at the completion of a trip such as crew meals, rental car requests, hotel changes, etc.
- Track all leave, sick, and vacation time
- Review per diem and payroll submittals for accuracy and completeness as back up to crew scheduler
- Print and distribute technical publications, Jeppesen and NOAA navigation charts. Track revision status to ensure compliance with FAR's
- Review hotel, travel and other expenses for completeness and approval for accounting as back up to crew scheduler
- Maintain accurate crewmember flight and duty reports
- Provide administrative and phone support for the Operations Department and management as needed

Qualifications
- Pass FAA Drug and Alcohol testing, background checks and submit to random drug test when required
- Associate degree (A.A. or A.S.) preferred and/or bachelor's degree, but not required
- Aviation experience or enthusiasts a plus
- Customer service experience preferred and/or a track record of collaboration and excellent internal and external customer service
- Strong work ethic
- Well organized and a self-starter with attention to detail
- Strong problem-solving skills, ability to multi-task, and a team player
- Excellent written and oral communication skills
- Must be able to work flexible hours including evenings and weekends, as needed, and to answer company calls at all times when on call
